Understanding open trip BEP
Fixed cost vs variable cost
Fixed costs (bus rental, guide, tolls) don't change as participants grow. Variable costs (tickets, meals, hotel/pax) rise with headcount. This split is key to computing BEP.
Contribution margin
Contribution margin = selling price per participant − variable cost per participant. It's what each participant leaves to cover fixed costs. BEP = fixed cost ÷ contribution margin (rounded up).
Minimum quota & the go/no-go decision
If BEP is 9 participants, below that you lose money. Use it to set a minimum departure quota — many open trips state 'minimum X participants for the trip to run'.

Frequently asked questions
How do I calculate open trip BEP?
Compute contribution margin = selling price per participant − variable cost per participant. Then BEP = fixed cost ÷ contribution margin, rounded up. That's the minimum participants to avoid a loss.
What counts as fixed cost in an open trip?
Costs that don't change as participants grow: vehicle rental (bus/van), guide/tour leader fees, tolls, parking, and permits. These must be 'covered' by all participants' contribution.
What if participants are below BEP?
You lose the difference. Options: raise the price, cut fixed cost (smaller vehicle), add promotion to reach the quota, or postpone/merge departures. The calculator's table shows the loss at each headcount.
Does raising the price lower BEP?
Yes. A higher price increases the contribution margin per participant, so fixed costs are covered by fewer participants. But too high a price may reduce interest — find the balance.
Does this calculator guarantee the trip will profit?
No. It's an estimation aid based on your assumptions. Actual results depend on who really registers, supplier price changes, and unexpected field costs.
